01
Site and spine as one
For Savara Club we handled the full digital foundation — website and backend automation as a single connected system rather than two separate deliverables.
The website serves as the public face of the club, with event listings that populate and update automatically instead of requiring someone to manually maintain them. Behind that, we built a workflow automation layer using Zapier that connects every moving part of the operation.
An enquiry or booking made on the website flows straight into the admin panel, generates the corresponding reservation record, assigns the table, and routes the lead to the right person — all without human handoff.
A complete front-to-back operating layer — a public site, an admin console, and an automation spine linking the two — so the floor team can concentrate on hospitality.
02
Admin on the floor
In hospitality, every minute a team spends on administration is a minute not spent on guests. At Savara, the moving parts of intake — enquiries, bookings, table assignments, confirmations, internal alerts — all depended on someone noticing and acting, which meant things could sit waiting in an inbox.
The public side had its own drag: event listings that needed manual upkeep, going stale the moment someone got busy.
The intent throughout was to strip administrative load out of the club’s day-to-day, so the team on the floor could concentrate on hospitality and guest experience while the system quietly handled intake, scheduling and record-keeping in the background.
03
No human handoff
We designed the website and the automation as one connected system. The public site carries event listings that populate and update automatically, so nothing on the front end depends on manual upkeep.
Behind it, a Zapier automation layer links every moving part. A booking or enquiry flows straight into the admin panel, creates the reservation, assigns the table and routes the lead — and the same pipeline handles new-booking notifications, confirmations and internal alerts, so nothing waits in an inbox for someone to notice it.
A few principles kept the work honest:
- Website and automation built as a single system
- Event listings that populate and update automatically
- Enquiries flowing straight into the admin panel
- Reservations created and tables assigned without handoff
- A Zapier spine connecting every moving part
- Notifications, confirmations and alerts fully automated
04
A front-to-back layer
What the club ended up with is a complete front-to-back operating layer: a public site, an admin console, and an automation spine linking the two. Intake, scheduling and record-keeping run in the background, without a person having to shepherd each step.
Because the pipeline covers notifications, confirmations and internal alerts as well as the initial booking, the whole cycle — from an enquiry on the site to a confirmed, assigned reservation — happens on its own.
What we shipped, front to back:
- A public website as the club's front of house online
- Auto-populating, self-updating event listings
- An admin console for reservations and records
- A Zapier automation spine linking site and admin
- Automatic reservations, table assignment and routing
- Hands-off booking notifications, confirmations and alerts
05
What the system changed
The administrative load that used to sit on the team is now handled by the system. Bookings turn into reservations, tables are assigned, confirmations go out, and nothing waits for someone to notice it — freeing the floor to focus on guests.
The club runs on rails it doesn’t have to push:
- Administrative load stripped out of the day-to-day
- Bookings converted to reservations automatically
- Tables assigned and leads routed without handoff
- Confirmations and alerts issued on their own
- Event listings kept current without manual upkeep
- The floor team freed to focus on hospitality
06
Hospitality, not admin
Savara Club shows what a connected system does for a hospitality business: it takes the intake, scheduling and record-keeping off the team’s plate entirely.
By building the website and the Zapier spine as one, an enquiry becomes a confirmed, assigned reservation without anyone shepherding it — and nothing sits waiting in an inbox.
What the club runs on now is a complete front-to-back operating layer that quietly handles the operation in the background, so the people on the floor can concentrate on the guests in front of them.
